Creating a printable mailing list

I have AppleWorks 6 on my Macintosh, and I would like to use it to create a printable mailing list, but I can't figure out how to complete the steps in Assistant. After filling in the fields and spaces, there doesn't seem to be explanation of how to get a template with two columns of names/addresses.

Are you using the Addresses List assistant?
It should be a data bank format like this.

I've never used AW but it hopefully has a "Layout" function. In there, you should look for a menu that allows you to specify the number of columns ( as well as which way to 'populate' them; left to right or one column at a time ).

Also, remember to use the "Page Setup..." menu to make sure you are taking advantage of as much of the paper as you can use. Sometimes the borders on the label pages are smaller than what you normally use in a 'letter'.

By "Layout" I was thinking more in terms of laying out what you want to view/print and where on the paper/label. I don't suppose AW came with preformatted 'forms'/'layouts' for various label types, for example, the dozens of Avery brand sheets.

It would be great if AW provided something like the first image. And better yet, the preformatted setup. smile.gif

Yes, Appleworks has a huge selection of Avery labels to choose from for just about any size and shape you can think of.  OR... you can design your own to meet your needs.  I've used many different types and they work beautifully.

Basically you get there by opening a blank database document, closing the field description window and choosing "New Label Layout" from the 'Layout' menu.  That takes you to the AW assistant and you're on your way...

If you want to just build a database with different columns/fields, that can be done by just opening a blank database page and building it from there

Yes, that's what I am using. I've been able to create a 3-line field and print it out. Not a 4-line field, however.
For example I can create the following "record":
John Smith
333 Elm St
Anywhere, CA 91100

But can't create this:
John Smith
c/o Mortimer's Mortuary
333 Elm St
Anywhere, CA 91100

because there is no place to input "c/o Mortimer's Mortuary" unless
I put it where it asks for FAX, email, phone, or some such other category.
(Even though I have allowed for 4 lines)
Also - and I don't know if there is a way around this -
I have to copy/paste only each line.. I can't copy/paste the whole
record.

Indeed I am. But if you look at the list of categories (at left side of their formatting
Assistant page) there is
no place for a category such as "c/o XYZ Company. It looks like this:
LAST NAME [you fill in here]
FIRST NAME [you fill in here]
ADDRESS [you fill in here]
CITY [you fill in here]
ETC.

"Am I wrong?
Can one motify the categories that are on the left side of their formatting
chart?

Yes you can modify NOTES for example (resize), which is a text field. You can change the 3 line avery label to 4 lines.

When I was trying to figure out my way around the data bank I just duplicated the original and worked in the Copy.

another way

To start with, if your trying to print a four line label you need to expand the height of the label. The lines are only TEXT so they have no active roll, like a calculation line would have. Create a new field, call it address #3 and insert it where you want it in Tab Order.

You can build a custom label as well.
>menubar>layout>new label layout>lst label screen>create custom label>second screen Next> 3rd screen 4 lines>4th screen select fields.....and so on.

You may also need to reduce the font size of all the four text boxes so they will fit in the labels height.

Secondly, I don't know if AW has this function but since you don't always need all four linse of text on a label, you might try looking for a "Slide Field up when empty" setting, usually in Layout Mode. I usually set everything below the top line to behave this way so there won't be blank lines on any label.

You may have a "Duplicate" item probably in the "Records" menu. Thinking.gif

Lastly, you might want to consider having three fields for "City", "State" and "Zip", that way you can search and sort on any of those fields easily. Just define a couple of new fields for that info, place them horizontally next to one another in the layout and set them to "Slide Left" when printing. If you don't have that capability, you can simulate it by using "Merge" fields instead of the actual fields, but do that on a duplicate layout since you'll not be able to actually enter data into a record with "Merge" fields. They don't even show on screen unless you are in Preview Mode. "Merge" fields automatically remove any extra space that would show in a normal field when you print.

Jim, the city.state, and zip are in distinguished fields and then combined to one line.
The three line address is an Avery 5160? default so the 4th line label would be the custom, called upon when required.

I just use the templates for getting the label printout size correct. I'll put whatever fields into it that I please, thank you, very much! laugh.gif Or does AW not allow removing/adding fields? Surely it allows changing the font size! And moving the 'included' fields?

Perhaps the fields are simply "Locked" and or "Grouped"? dntknw.gif

BTW, I like to have 'distinguished' fields, also! smile.gif
